Plan your IAAPA Expo exhibit.

Your exhibit should help visitors understand the product and make room for the right conversation. Use these priorities to shape a practical IAAPA Expo booth brief.

Allow for participation

A hands-on attraction needs more than its equipment footprint. Plan entry, exit, waiting space and clear supervision so interested visitors do not spill into neighboring exhibits.

Separate play from business

Position a quieter buyer meeting area away from active demonstrations. Use product storytelling and material samples to help operators understand how an experience fits their venue.

Resolve demonstration requirements

Audience participation, food sampling and other activities may trigger additional requirements. Review IAAPA rules and insurance requirements with the organizer before approving a live demonstration.

Before you request a proposal.

Gather the allocated floor plan, open sides, booth number and current event manual. Add your product dimensions and a realistic budget range. Ask the builder to separate the physical exhibit from organizer or venue services in the quote.

Are the IAAPA conference and exhibit dates the same?

The 2026 show floor is open November 17–20. Education and other activities have separate schedules. Use the organizer schedule for appointments and the exhibitor manual for move-in and move-out.
